Seawall Planning for St. Augustine Property Managers
Keep each property’s waterfront history usable, even when owners, vendors or management teams change.
Use one record per property and wall segment
Record the property address, parcel identifier, owner’s authorized contact and water body. Link the survey, permits, assessments and photographs. Separate the wall from docks, public outlets and neighboring structures that appear in the same view.
For a new management appointment, list missing records as open tasks. A previous manager’s summary may be useful, but preserve the original report and its limitations.
Assign an owner to every open issue
| Field | Purpose |
|---|---|
Observation | What changed, where, when and who observed it. |
Restriction | Who advised it and how it is communicated. |
Next action | Investigation, quote, permit question or authorized repair. |
Responsible person | Who follows up and by which agreed date. |
Completion evidence | Report, invoice, photographs and outstanding items. |
Make vendor handovers traceable
Confirm the business and professional names on the proposal, then use the applicable licensing lookup. Give the new vendor the approved scope and prior records with owner permission. Ask what they accept and what they need to verify independently.
Record a change in scope before treating it as an authorized extra. Keep the payment recipient consistent with the contracted business and the owner’s approval process.
Keep permitting attached to the actual parcel
Do not reuse a permit path across a mixed portfolio of city, beach and county properties. Store the correct local office, permit identifiers and relevant DEP or Corps approvals in each record.
For recurring waterfront concerns, the condition log provides a repeatable format. For a pending sale, prepare the waterfront handover file.

Close the task only when the evidence arrives
Work reported complete
Match the invoice to the authorized wall segment and scope. Request agreed photos, inspection evidence and accepted changes. Note work that remains outside the authorization.
Follow-up still required
Keep the next inspection, warranty condition or unresolved finding as an assigned task. Record the responsible person, expected response and date reviewed.
For example, a contractor’s “job complete” email may close site work while a permit closeout or follow-up assessment remains outstanding. Preserve both statuses. When management changes, transfer the source documents and open-task list with the owner’s authorization instead of relying only on a summary.
